Keyloop Capture Privacy Policy

About this policy 

This privacy policy explains what personal data the Keyloop Capture mobile application (the App) collects, how it is used, and who it is shared with. The App is published by Keyloop UK Holdings (we, us, our), whose registered office is at KEYLOOP HOLDINGS (UK) LIMITED, The Brickworks 35-43 Greyfriars Road, Reading RG1 1NP. 

The App is provided to car dealerships and their staff as part of Keyloop’s Service Hub. When you use the App to record or upload content about a dealership’s customers, the dealership is the controller of that personal data and decides how it is used. We act on the dealership’s instructions as a service provider. For any request about your personal data or your rights, please contact the dealership you are dealing with. Their contact details are set out in their own privacy notice. 

Information the App processing 

The App may process the following, depending on the features used: 

1. Audio and video recordings that you capture through the App; 

2. Images and media files, and any transcripts generated from recordings;

3. Vehicle information, such as vehicle registration or licence plate numbers; 

4. Device and diagnostic data, such as app performance, crash reports and analytics used to keep the App working  

The App requests access to your device’s camera and microphone in order to record content. You can manage these permissions in your device settings. 

How the information is used 

The information is used to: 

1. Provide the recording, upload, transcription and media features of the App;

2. Authenticate users and keep access to the App secure;
3. Maintain, troubleshoot and improve the performance of the App; and
4. Provide media to the end customer.

Sharing 

We share the information with: 

1. TruVideo Limited, the provider that builds and operates the App’s video, audio and transcription technology on our behalf; 

2. AWS , which stores the data; 

3. The dealership on whose behalf the content is captured; and 

4. Third parties where required by law. 

We do not sell your personal data, and we do not use it for advertising. A full list of the providers we use is available at https://keyloop.com/legal-documentation. 

Where the data is stored 

The data is stored in Ireland (AWS eu-west-1) with data centre storage in Republic of Ireland. Where any access to the data takes place from outside the UK/EEA, appropriate safeguards are in place (EU Standard Contractual Clauses and the UK International Data Transfer Addendum). 

How long the data is kept 

The data is kept for 2 years and then deleted, unless a longer period is required by law or agreed with the dealership.
